How to be more productive

Using accounting software in your business will increase the productivity of your staff. The effectiveness of productive effort is measured in terms of the rate of output per unit of input. Well trained employees who know how to use business software effectively can add real value to your business by reducing effort required to achieve your desired goals.

Employee productivity is often a concern for SME owners whose workforce requires more productivity per person than a large company. How to squeeze out those extra units of productivity and maintain this continuously is a leadership challenge for SME owners.

 

Set a daily goal (or goals)

If you need to get something done then do it and do no more. Setting realistic goals for your daily output is one way to measure your own productivity. Setting a daily work goal such as finishing a report gives you a clear way to spend your working day. Goals should be SMART (Specific, Measurable, Actionable, Relevant, Time-based).
If you are implementing new accounting software in your business, set goals on who needs to use it, how quickly they are going to need to be up to speed with its functions. The same applies when you are up-grading your existing accounting software.

 

Prioritize

Once you have set your SMART goals for the day, week or month, filter them to decide which ones are the most important. Be ready to be pragmatic as these may change as time marches on.

Getting paid is the bottom line for any employee. If you are implementing new payroll software, then a smooth transition should be your top priority. It could be dangerous and embarrassing to have to explain to your staff that they are being paid late becomes someone made a mistake in the payroll.

 

Easily distracted

How much time do you waste each day, and why? Ask yourself if you could be more effective by being more focused and less easily distracted.

Are you addicted to your mobile phone, Facebook or other social media? Checking your phone constantly is a common bad habit but this can be turned into a good habit that will increase employee productivity if they are checking a ‘productivity App’ on their phone.

There is a plethora of Productivity Apps currently available ranging from ‘Google Keep’ which functions like a Post It note to ‘Hours’ will track the time you spend on tasks versus the time you spend on distractions and even ‘Mindfulness’ for the Spiritually more aware which lets you manage your meditation sessions and helps with reminders throughout the day.

 

Time and Timing

What time of the day are you most effective? Some people are ‘morning’ people, others are late night people. A lot of people feel drowsy and need to take a nap in the afternoon, especially after a heavy lunch or even lunch-time drinking. What would your productivity look like (and the rest of your day) if you could clear most of your daily work before lunchtime? It’s possible you know.

 

Relax

Some people are workaholics. Others pretend. Some people strike a good work/life balance and others don’t. Learning how to relax is an art. It involves a variety of options that suit each individual person. Whether it is physical or mental relaxation depends on what makes you tick. Both are advisable.

Burnout can be not only detrimental to productivity but also dangerous to the individual leading to depression or even worse. Don’t confuse being busy with being effective.
